1. Who we are

Home Health Scan is operated by Ms Clare Freeman, a sole trader based in the United Kingdom, trading as Home Health Scan ("we", "us"). We are the data controller for the personal data described in this notice.

2. What personal data we collect

• Address & property details you enter to generate a report.
• Contact details — name, email address — when you purchase a report or contact us.
• Order & transaction metadata — order reference, products purchased, currency, country (payment card details are handled by Paddle, not us).
• Support correspondence — messages you send us via the contact form or by email.
• Technical & usage data — IP address, device and browser information, pages visited, and similar telemetry for security and product improvement.
• Cookies — strictly necessary cookies for site functionality; we do not currently use advertising or third-party tracking cookies.

3. Why we use it and our legal basis

• To generate and deliver your report — performance of contract.
• To take payment and issue receipts — performance of contract (via Paddle as Merchant of Record).
• Customer support and replies — legitimate interests in helping our customers.
• Security, fraud prevention & abuse detection — legitimate interests in protecting the service.
• Product improvement and analytics — legitimate interests in improving the service.
• Compliance with legal obligations — e.g. accounting and tax record-keeping.

4. Who we share data with

We share personal data only with the following categories of recipients:

• Paddle — our Merchant of Record. Paddle processes payments, subscription management, tax compliance, invoicing, and refunds, and may collect additional information directly from you at checkout. See Paddle's privacy policy.
• Service providers / subprocessors — hosting, database, email delivery, error monitoring, and customer support tooling. They process data only on our instructions and under written agreements.
• Professional advisers — accountants and legal advisers where necessary.
• Authorities — where required by law, court order, or to defend our legal rights.

We do not sell your personal data.

5. International transfers

Some of our service providers are based outside the UK and EEA. Where data is transferred internationally, we rely on appropriate safeguards such as the UK International Data Transfer Agreement, Standard Contractual Clauses, or an adequacy decision.

6. How long we keep it

• Generated reports and order records: up to 7 years (to meet UK accounting and tax requirements).
• Support correspondence: up to 3 years from last contact.
• Technical/security logs: typically up to 12 months.

When no longer needed, data is deleted or anonymised.

7. Your rights

Under UK GDPR you have the right to:

• access a copy of your personal data;
• rectify inaccurate data;
• request erasure ("right to be forgotten");
• restrict or object to processing based on legitimate interests;
• data portability for data you provided;
• withdraw consent where processing is based on consent;
• complain to the UK Information Commissioner's Office (ICO).

8. Security

We use appropriate technical and organisational measures — including TLS encryption, access controls, hosted infrastructure with managed security, and least-privilege credentials — to protect your data. No method of transmission or storage is 100% secure, but we take our obligations seriously.

9. Cookies

We use a small number of strictly necessary cookies and similar storage so the site works (e.g. session and security). We do not currently use advertising cookies. If we add analytics or marketing cookies in future, we'll update this notice and request consent where required.

10. Changes to this notice

We may update this notice from time to time. The "last updated" date above reflects the current version.
